Overview

We are seeking a highly organized and detail-oriented Office Admin Assistant to provide essential administrative support to our team. This role involves a wide range of responsibilities, from managing schedules and handling correspondence to maintaining office supplies and assisting with various projects.

Responsibilities

  • Administrative Support:
    • Manage and maintain calendars and schedules for team members.
    • Handle incoming and outgoing mail, including sorting, distributing, and preparing outgoing mail.
    • Answer and direct phone calls, providing information and taking messages as needed.
    • Greet and assist visitors to the office.
  • Office Management:
    • Order and maintain office supplies and equipment.
    • Manage office maintenance and repairs as needed.
    • Coordinate office events and meetings, including scheduling and preparing meeting materials.
    • Maintain a clean and organized office environment.
  • Project Assistance:
    • Assist with various projects, including data entry, report generation, and document preparation.
    • Provide support to team members on specific tasks as needed.
  • Communication:
    • Draft and proofread correspondence, including emails, letters, and memos.
    • Communicate effectively with team members and external contacts.

Qualifications

  • High school diploma or equivalent.
  • Proven experience as an administrative assistant or similar role.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented and accurate.
  • Ability to maintain confidentiality.
