We are seeking a friendly, organized, and detail-oriented Administrative & Customer Service Representative to join our veterinary team. This role is essential in providing exceptional client service while supporting the daily administrative operations of the practice. The ideal candidate is compassionate toward animals and their owners, thrives in a fast-paced environment, and communicates clearly and professionally.
Key Responsibilities
Customer Service
Greet clients and their pets warmly in person and over the phone
Schedule, confirm, and manage appointments efficiently
Answer client questions regarding services, policies, and basic pet care (non-medical)
Handle client concerns with empathy and professionalism
Process payments, invoices, and insurance forms accurately
Administrative Duties
Maintain accurate client and patient records in the practice management system
Manage phone calls, emails, and voicemails in a timely manner
Prepare and organize paperwork, reports, and correspondence
Assist with inventory tracking and office supplies as needed
Support veterinarians and technicians with administrative tasks
Office & Team Support
Keep the front desk and waiting area clean, organized, and welcoming
Coordinate communication between staff and clients
Follow clinic procedures, confidentiality policies, and safety protocols
Assist with other duties as assigned to support smooth clinic operations
Qualifications
Previous experience in customer service or administrative roles preferred
Experience in a veterinary or medical office is a plus
Strong communication, multitasking, and organizational skills
Proficiency with computers, scheduling software, and basic office equipment
Compassionate, dependable, and team-oriented attitude
Work Environment
Fast-paced veterinary office setting
Regular interaction with animals and pet owners
May require standing, sitting, and light lifting
