Conventions Specialist II
The Conventions Specialist II plays a key role in coordinating events from start to finish—managing inventory, shipments, returns, and ensuring every event runs smoothly. This position requires strong attention to detail, excellent communication, and the ability to work cross-functionally with Marketing, Sales, Logistics, and internal customers.

Key Responsibilities – Conventions Specialist II
Manage full event coordination process once requests are approved.
Confirm inventory availability and communicate with event owners.
Oversee order management and event inventory planning (goal: 90%+ first-pass fill rate).
Mentor Convention Coordinator I team members.
Create, enter, and track events within internal systems (SAP).
Update inventory master files and coordinate shipments from warehouse/field locations.
Provide product guidance and consult with internal customers.
Partner with Marketing, Sales, and warehouse teams for event product needs and shipments.
Monitor and replenish inventory as needed.
Run and maintain weekly/monthly reports; complete follow-up and issue resolution.
Stay up to date on policies, promotions, and compliance requirements.
Recommend process improvements and support the broader Conventions team as needed.
Qualifications – Conventions Specialist II
High school diploma required; advanced degree preferred.
3–5 years of high-volume customer service, order management, or event coordination experience.
Strong communication, problem-solving, and decision-making skills.
Highly organized, detail-oriented, and able to manage multiple events simultaneously.
Proficient with Microsoft Office; SAP and Microsoft Access experience strongly preferred.
Experience in event planning or related field is a plus.
Ability to work in a fast-paced environment handling 650+ events annually.
Knowledge of medical terminology helpful but not required.
