The Executive Assistant will support the administrative and secretarial needs of the Chief
Executive Officer (CEO), Leadership Team, the Board, and Leadership Team projects. They will
ensure the efficient day to day management of the CEO’s schedule, major projects, outside
contacts and internal operational needs as well as play a back up role to the senior
administrative assistant when they are out sick or on vacation.

Job Responsibilities:

1. Support to the CEO:
o Manage calendar and support the work of the CEO
o Travel arrangements
o Process travel and expense vouchers
o Check requests
o Printing/copying/scanning
o Draft letters and agendas

2. Support to Board:
o Scheduling of meetings and committee meetings
o Manage all meeting logistics, including electronic and in person meetings
o Prepare, revise and distribute materials for all meetings
o Prepare, revise, distribute and maintain all Board materials
o Take, draft and revise minutes of all meetings
o Maintain official Board book and respond to annual Auditor’s request for
documentation of any Board action
o Ensure all Conflict of Interest Statements are updated and filed annually

3. Support to Leadership Team:
o Staff weekly, bi weekly and quarterly in person meetings
o Draft, distribute and manage all minutes, notes and follow up
o Work with CEO and LT on scheduling all staff meetings, ensure agendas are
developed and distributed and any follow up is put before the LT and acted on in a
timely fashion
o Handle all travel arrangements for CEO, and other LT members as needed for staff
leadership or Board meetings
o Process travel and expense vouchers
o Printing/copying/scanning as needed

4. Support to any special projects of CEO and the LT
o Staff and manage the logistics for the Operations Team and Strategic Planning
efforts and any other organizational planning efforts

5. Other duties as assigned.


Minimum 3 years experience as assistant to C-Level Executive
Full MS Office Suite proficiency
Excellent communication skills, both written and verbal
Mature and dependable personality
Highly organized and self-starting
