Job Description

The Facilities Planner and Coordinator will be responsible for the strategic planning and execution of space and occupancy management to meet the needs of the business and comply with government contracts. This role involves collaboration with business area and functional leaders, analysis and implementation of occupancy plans, and proactive process improvement initiatives. The ideal candidate will have a strong background in space planning, excellent communication skills, and the ability to drive continuous improvement. Additionally, the Facilities Planner and Coordinator will support various tasks and projects within the ES-Facilities Department.

Key Responsibilities:

  • Develop and maintain excellent working relationships with key business partners.
  • Engage with Business Area and Functional leaders to understand office and lab requirements, providing timely solutions.
  • Update the IWMS (TRIRIGA) system with space usage data and employee locations.
  • Develop site occupancy plans based on forecasted headcount and seat supply projections.
    • Perform supply and demand analysis.
    • Create supporting graphs, stacking plans, and move scenarios.
    • Present challenges and pros/cons for each recommendation.
  • Implement move plans in accordance with approved occupancy plans, addressing day-to-day service requests.
  • Support change management and communication plans related to workspace and work style changes.
  • Provide trending analysis to Site Leadership, including data on new hires, terminations, moves, vacancies, and actual vs. forecasted metrics.
  • Maintain best-in-class space and occupancy data.
  • Implement processes and develop continuous improvement recommendations.
  • Ensure compliance with safety and environmental objectives.
  • Run bi-weekly meetings for the site facilities team.
  • Provide support on a variety of tasks and projects within the ES-Facilities Department.
  • Work with multiple Facilities personnel at multiple locations within the New England Area (primarily focused in Southern NH) to ensure successful capital project planning and delivery.
  • Support the Facilities IWMS (TRIRIGA) system with data entry/updates and basic CAD support.

Job Requirements

Skills Required:

  • Proficiency in AutoCAD and/or 2D/3D design software.
  • Experience with space planning objectives and execution.
  • Excellent communication skills, both written and verbal, with all levels of management.
  • Strong organizational skills with attention to detail.
  • Proactive in searching for process improvement.
  • Ability to interpret and apply policy and procedure.
  • Proficiency in Microsoft Office.

Skills Preferred:

  • IWMS experience (TRIRIGA preferred).
  • MS Project proficiency.
  • Power BI knowledge.
  • Program/project management experience.

Experience Required:

  • Bachelor’s Degree or 5 years of related experience.
  • Proven ability to develop and maintain excellent working relationships with key business partners.
  • Experience in engaging with business area and functional leaders to understand and meet office and lab requirements.
  • Familiarity with updating IWMS (TRIRIGA) systems with space usage data and employee locations.
  • Ability to develop site occupancy plans, including analysis, forecasting, and implementation.
  • Experience in supporting change management and communication plans related to occupancy.
  • Proficiency in providing trending analysis to senior leadership.
  • Commitment to maintaining high-quality space and occupancy data.
  • Demonstrated ability to implement process improvements and continuous improvement recommendations.
  • Knowledge of safety and environmental compliance.
  • Experience in running bi-weekly meetings for facilities teams.
  • Self-starter with a flexible mindset, able to work with multiple Facilities personnel at multiple locations.
