Job Description

We are seeking a skilled and adaptable General Administrative Assistant to join our legal office. The ideal candidate will be proficient in administrative tasks and possess the ability to adapt to various software programs commonly used in legal environments. This role will involve supporting attorneys and other staff members in day-to-day operations, ensuring smooth workflow, and maintaining efficient office procedures.

Responsibilities:

  1. Provide administrative support to attorneys and staff members, including managing schedules, organizing meetings, and handling correspondence.
  2. Assist in drafting and proofreading legal documents, correspondence, and reports.
  3. Manage and maintain electronic and physical filing systems, ensuring accuracy and compliance with legal standards.
  4. Utilize various software programs for document management, case management, and billing purposes.
  5. Coordinate with clients, court personnel, and other parties as necessary, maintaining professionalism and confidentiality.
  6. Assist in the preparation and organization of materials for court proceedings, depositions, and client meetings.
  7. Handle incoming calls, emails, and inquiries, directing them to the appropriate staff members or providing assistance as needed.
  8. Assist with billing and invoicing processes, ensuring accuracy and timeliness.
  9. Maintain office supplies and equipment, coordinating repairs and purchases as necessary.

Job Requirements

  1. High school diploma or equivalent; 
  2. Proven experience in administrative support roles, preferably in a legal setting.
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to quickly learn and adapt to new software programs.
  4. Strong organizational skills with attention to detail and the ability to prioritize tasks effectively.
  5. Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.
  6. Ability to work independently and collaboratively in a fast-paced environment, managing multiple tasks with minimal supervision.
  7. Knowledge of legal terminology and procedures is a plus.
  8. Discretion and confidentiality in handling sensitive information.
  9. BG/DT Required
