Job Summary
We are seeking an organized, detail-oriented, and proactive Legal Secretary to join our growing legal team. In this role, you will provide critical administrative and clerical support to our attorneys, ensuring efficient daily operations and high-quality service to our clients.
This position offers a hybrid work schedule following the successful completion of an initial 30-day, fully on-site onboarding and training period.
Key Responsibilities
Legal Documentation: Draft, format, edit, and proofread legal documents, including briefs, pleadings, motions, contracts, and correspondence.
Filing & E-Filing: Prepare and electronically file (e-file) legal documents with state and federal courts.
Calendar Management: Maintain attorneys' calendars, track court deadlines, schedule depositions, client meetings, and hearings.
Client Communication: Serve as a primary point of contact for clients, handling incoming calls, taking detailed messages, and routing inquiries appropriately.
Case Management: Organize and maintain physical and digital client files, ensuring indexing and archiving comply with firm policies.
Administrative Support: Manage incoming mail, process expense reports, log billable time, and assist with billing/invoicing processes.
Qualifications & Skills
Experience: Minimum of 1 year of experience as a Legal Secretary, Legal Assistant, or similar role in a law firm.
Technical Proficiency: Strong skills in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software (e.g., Clio, Smokeball, Filevine). Experience with court e-filing systems is highly preferred.
Knowledge Base: Solid understanding of legal terminology, court rules, procedures, and documentation protocols.
Communication: Exceptional written and verbal communication skills, with a strong emphasis on professional phone etiquette.
Organization: Superior time-management skills with the ability to prioritize tasks under tight deadlines and maintain absolute confidentiality.
