Marketing Assistant
Job Description
Executive Summary:
The Marketing Assistant I is an entry-level administrative role designed to provide essential support to the marketing management team. This position is integral to the smooth operation of the marketing department, assisting with various administrative tasks and supporting marketing initiatives.
Primary Job Responsibilities:

Administrative Support:
- Provide administrative support to management and the marketing team, including managing sales data, market trends, forecasts, and account analyses.
- Submit and manage expense reports, IT requests, and ensure proper maintenance of office supplies and equipment.
- Assist in the creation of presentations and manage the social media content calendar.

Event and Meeting Coordination:
- Provide assistance for customer visits, including arranging meeting locations, meals, entertainment, and preparing marketing materials.
- Support meetings and trade shows by identifying, assembling, and coordinating requirements, establishing contacts, and developing schedules and assignments.
- Make travel arrangements and schedule meetings as necessary under the guidance of management.
- Coordinate logistics for meetings, events, conventions, and workshops.

Inventory and Communication:
- Track and inventory marketing samples, prototypes, and products.
- Serve as the first point of contact for the department, managing email (team inbox), phone, and fax communications, and routing them appropriately and in a timely manner.
- Participate in maintaining an orderly work environment, including the upkeep of marketing inventory.

Team Support:
- Support teammates in teamwide projects, managing tasks within team projects, and working with appropriate cross-functional team members.
- Follow and manage tasks within the cost center annual budget (OPEX).
- Ensure full compliance and legal approvals for all commercial activities.
Essential Functions:
- Report directly to the Group Marketing Manager or designated senior management.
- Execute tasks within a project as directed by management, ensuring timely completion.
- Prioritize work based on management input to support marketing and sales goals.
- Ability to handle tasks that may require lifting heavy objects in excess of 25 pounds.
Job Requirements
Basic Qualifications:
- Minimum 2 years of relevant experience.
- Proficient in Microsoft Office programs, including Word, Excel, and PowerPoint.
- Strong writing, presentation, and communication skills.
- Excellent organizational skills.
Desired/Preferred Qualifications:
- Experience as a Coordinator or Administrative Assistant is a plus.
- Bachelor's Degree preferred.
