Job Description
General Office Assistent:
Key Responsibilities:
- Administrative Support:
- Manage office supplies inventory and procurement, ensuring availability of necessary materials for daily operations.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail, directing them to the appropriate personnel.
- Maintain organized filing systems for documents, records, and reports, both physical and digital.
- Security Protocol Compliance:
- Enforce security policies and procedures within the office environment, including access control and visitor management.
- Assist in the implementation and maintenance of security measures to safeguard company assets, information, and personnel.
- Conduct periodic checks to ensure compliance with security regulations and address any breaches or vulnerabilities promptly.
- Scheduling and Coordination:
- Manage calendars, appointments, and meetings for executives and staff, ensuring optimal use of time and resources.
- Coordinate logistics for internal and external events, including conferences, training sessions, and client meetings.
- Arrange travel arrangements and accommodations for staff members as needed.
- Documentation and Reporting:
- Prepare and edit documents, presentations, and reports for internal and external distribution, ensuring accuracy and professionalism.
- Maintain confidentiality of sensitive information and handle classified documents according to established security protocols.
- Compile data and generate regular reports on administrative activities, security incidents, and compliance metrics.
- Communication and Collaboration:
- Serve as a point of contact for employees, clients, and vendors, addressing inquiries and providing assistance as required.
- Collaborate with other departments, such as HR and Finance, to streamline processes and support cross-functional initiatives.
- Facilitate effective communication within the organization, disseminating important information and updates to relevant stakeholders.
Job Requirements
Qualifications and Skills:
- Proven experience as an office administrator, administrative assistant, or similar role, preferably in a security-related field.
- Familiarity with security protocols, procedures, and best practices is highly desirable.
- Proficiency in office software applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
- Discretion and integrity when handling sensitive information and confidential matters.
- Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
- Bachelor’s degree in business administration, security management, or a related field is preferred but not required.
