Office Assistant A/P
Job Description
We are seeking a detail-oriented and organized Office Assistant A/P to join our team. The ideal candidate will be responsible for efficiently managing accounts payable tasks, including voucher processing, invoice entry, check cutting, and maintaining accurate records. Additionally, the candidate will handle various administrative duties such as customer invoicing, mail preparation, office supplies management, and front desk coverage. This role requires strong communication skills for interacting with customers regarding payments and collaborating with internal teams.
Key Responsibilities:
- Voucher incoming payables accurately and in a timely manner.
- Enter all bills into the system, ensuring accuracy and completeness of data.
- Prepare weekly check runs for all payables, adhering to payment schedules and deadlines.
- Maintain a spreadsheet to track information related to large volume builders efficiently.
- Generate customer invoices daily, ensuring accuracy and completeness of billing information.
- Prepare outgoing and incoming mail, ensuring proper handling and distribution.
- Order and maintain supplies for all offices, monitoring inventory levels and reordering as needed.
- Provide coverage for the front door during lunch breaks and when the receptionist is unavailable.
- Contact customers regarding payment inquiries, assisting with resolving billing discrepancies and overdue accounts.
- Process various payment methods, including credit cards, financing, and checks, with accuracy and attention to detail.
- Handle daily bank deposits, ensuring timely and accurate processing of financial transactions.
Job Requirements
- High school diploma or equivalent; associate degree in accounting or related field preferred.
- Proven experience in accounts payable or relevant administrative roles.
- Proficiency in using accounting software and MS Office Suite (especially Excel and Word).
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent attention to detail and accuracy in data entry and record-keeping.
- Effective communication skills, both verbal and written, for interacting with internal teams and external stakeholders.
- Ability to work independently with minimal supervision and as part of a collaborative team.
- Experience in handling confidential information with discretion and professionalism.
- Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
- Strong problem-solving skills and a proactive approach to addressing issues.
