Job Description

We are looking for an Office Manager to join our dynamic growing team!

This position is essential for supporting various aspects of the business. The person in this role will interact with customers and a range of vendors concerning invoices, purchase orders, and parts procurement. You will use QuickBooks to manage revenue and expenses and work with our external bookkeeping firm on different tasks. Additionally, this role will participate in projects to ensure accurate accounting of revenue and expenses.

  • Handle inbound calls and address customer inquiries via phone, email, and web.
  • Maintain office supplies and ensure a professional environment.
  • Perform clerical, administrative, and accounting duties.
  • Process customer invoices and vendor bills in QuickBooks.
  • Ensure prompt collection of customer invoices and vendor payments.
  • Support ongoing projects in various capacities.
  • Provide executive assistance with emails, customer interactions, travel, and other tasks.
  • Maintain organized files and directories for easy data access.
  • Conduct HR tasks, including onboarding and activities for new hires.
  • Assist engineers and project managers with key activities, tasks, milestones, and project profitability.
  • Develop standard SOPs and checklists for consistent and efficient processes.

Job Requirements

  • Strong desire to grow and learn.  
  • Relevant experience with a proven track record of success.
  • Demonstrated experience as an Office Manager, ideally in an engineering or manufacturing environment.
  • Strong computer skills, including proficiency in word processing, spreadsheets, and accounting software; experience with QuickBooks is an advantage.
  • In-depth knowledge of office equipment such as photocopiers, printers, and phones.
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and capacity to handle stressful situations effectively.
  • Positive, can-do attitude with flexibility to adapt to business needs.
