Purchasing Specialist
Job Description
We are seeking a highly organized and detail-oriented Purchasing Specialist to join our team. This key role is responsible for managing the procurement process, from reviewing vendor quotes to securing the best pricing, managing purchase orders and inventory, and maintaining strong vendor relationships. The ideal candidate will ensure compliance with company policies, collaborate with internal teams, and drive continuous improvement in procurement processes, contributing positively to the company's overall success.
Key Responsibilities:
- Review vendor quotes for accuracy and determine the best pricing options.
- Update and maintain pricing information for products and services.
- Confirm order details, quantities, and delivery schedules with vendors.
- Effectively manage digital inventory to ensure accurate stock levels.
- Generate and process purchase orders, ensuring they are complete, accurate, and comply with company policies.
- Send purchase orders to vendors and confirm receipt.
- Develop and maintain positive relationships with vendors to ensure reliable supply and support.
- Negotiate terms and conditions with vendors to secure favorable pricing, delivery, and payment terms.
- Address and resolve any issues related to order discrepancies, delivery delays, or product quality.
- Liaise with the sales team, inventory team, and other relevant departments to align purchasing activities with company goals.
- Provide regular updates on order status and any potential delays or issues to relevant stakeholders.
- Identify and mitigate potential risks related to procurement activities.
- Drive continuous improvement initiatives to enhance procurement workflows and processes.
- Follow company policies and procedures to maintain compliance and operational integrity.
- Perform additional duties as requested to support departmental objectives.
Job Requirements
Required Abilities:
- Communicate effectively with vendors and internal teams, both verbally and in writing.
- Exhibit proficiency with internal tools, workflows, and processes to streamline operations.
- Apply working knowledge of MS Word, MS Excel, and CRM tools such as Tigerpaw (if applicable).
- Thrive in a collaborative, cross-functional environment, demonstrating the ability to work well across different teams and functions.
- Demonstrate adaptability to manage changing priorities and multiple tasks simultaneously in a demanding environment.

Education and Experience:
- Associate's Degree in Business, Supply Chain Management, or a related field is required.
- Previous experience in a purchasing or procurement role is preferred.
