Reception/Admin Assistant
Job Description
The Temporary Receptionist/Admin Assistant is a key member of the support team, responsible for bridging communication between internal departments and field sales, as well as providing administrative support to the Human Resources department. This role demands a self-motivated, resourceful, and team-oriented individual who can effectively manage multiple tasks while maintaining a high level of professionalism.
Key Responsibilities:

Administrative Support:
- Schedule meetings, manage calendars, process purchase requisitions, and approve invoices.
- Prepare orientation and recruiting packets, assist with HR coordination, and process employee-related documentation.
- Maintain and update region files, directories, and templates, ensuring accuracy.

Communication & Liaison:
- Act as a liaison between sales employees and internal KSEA departments, ensuring seamless communication.
- Handle high-volume calls, supply information to callers, relay messages, and announce visitors.
- Provide field sales assistance related to customer accounts, quotes, promotions, and corporate initiatives.

Event Coordination & Onboarding:
- Assist in coordinating HR and sales-related events, including conventions and customer site visits.
- Facilitate onboarding and transition requests in alignment with management directives.
- Prepare for and assist in company events and social committee activities.

Problem Resolution & Customer Support:
- Direct internal and external customer problems to the appropriate department for resolution, ensuring timely follow-up.
- Manage sample inventory and handle expense report processing and AMEX reconciliation.

Additional Duties:
- Serve as backup to the HR Coordinator and assist with various HR projects.
- Prepare Length of Service Awards and assist in managing employee recognition programs.
- Manage the company's security database, assign employee badges, and issue temporary badges.
- Assist with Kronos password resets, I-9 verification, E-Verify process, and other data entry tasks.
Job Requirements
- High School Diploma or equivalent.
- 1-3 years of experience in an administrative support role.
- Proficiency in Microsoft Office Suite.
- Strong verbal and written communication skills.
- Exceptional organizational skills and ability to manage competing priorities.
- Customer-centric, enthusiastic, and self-motivated.
Desired:
- Experience using SAP.
- Some college education, particularly in English, Business Writing, or Business Management.
- Administrative Assistant Certificate or equivalent.
- Prior experience in a receptionist or HR support role is highly desirable.
