Receptionist/Administrative Assistant
Job Description
- Greet and welcome visitors in a professional and courteous manner.
- Answer and direct incoming calls promptly and efficiently.
- Maintain a tidy and organized reception area.
- Provide basic information to visitors and direct them to appropriate personnel or departments.
- Receive and distribute mail & packages.
- Coordinate appointments, meetings and travel arrangements.
- Schedule conference rooms and notifying staff of visitor arrivals.
- Assist with administrative tasks such as data entry, filing, photocopying, and scanning.
- Handle inquiries and requests from clients, employees, and external vendors.
- Assist with special projects and tasks as assigned by management.
- Inventory and order office supplies including cleaning items and cafeteria supplies etc.
- Assist with the coordination of office events and functions.
- Perform data entry and maintain accurate records.
- Provide administrative support to team members as needed.
- Handle sensitive and confidential information with discretion.
Job Requirements
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to prioritize tasks and manage multiple deadlines.
- Ability to work independently and as part of a team.
- Professional demeanor and appearance.
- High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus.
- Familiarity with office equipment, including printers, copiers, and fax machines.
- Proven experience as an administrative assistant or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
