Job Requirements

1. Work under general direction of Purchasing Supervisor/ Manager where guidelines are established.

2. Complete Subcontract closeout documentation in accordance with ES Procurement Procedures using pre-established checklist

3. Conduct Analysis in Oracle system to confirm all actions are complete.

4. Communicate with suppliers via phone or email to confirm receipt of final invoice and request specific forms to be completed.

5. Complete a high-level desk audit to ensure total payments made to supplier reconcile to invoices.

6. Communicate with internal personnel in Security, Asset Management, Legal and Small Business Office via email to coordinate needed information for the Subcontract Closeout documentation. Perform a variety of direct support duties relating to program/business area specific Subcontract topics. Direct involvement with the subcontract administrator, as well as other program dedicated support individuals, as required for resolution of Subcontract related issues. Thorough knowledge of Procurement procedures required to ensure accurate and detailed processing of Procurement related documentation.

1. Compile various routine subcontract correspondence / documents (e.g. Proprietary Information Agreement, Small Business Plans).

2. Prepare Program / Business Area specific reports (e.g. Bi-Weekly Major/Critical Subcontract Status Reports), for management review prior to distribution, ensuring accuracy and attention to detail.

3. Verify in process / completed documents are compliant with Company policies and procedures.

4. Handle confidential data and information using tact and discretion as necessary. Review documents in preparation for priority and special handling requirements such as foreign and classified material. Maintain Proprietary Information and Technical Data Under License logs and review for recall as needed.

5. Support proposal/program activity as required.

6. Assist Subcontract Administrators to prepare Program / Business Area related Subcontract Status / Informational presentations as required.

7. Responsible for subcontract closeout, obtain closeout documentation from supplier and verify order completion. Assist Subcontract Administrator in reconciling open invoices, RTV’d material, Proprietary Information, and classified documents, etc.

8. Coordinate Subcontract departmental training and travel requirements.

9. Assist Subcontracts personnel in the usage of Procurement computer systems and on-line tools.

Skills PreferredProfessional decorum Ability to communicate with suppliers in a professional manner while representing BAE Systems
